The product

One board. One inbox. One audit trail.

RetentionIQ™ has four moving parts: a SWAT command center, an outbound-email engine with action tokens, a per-tenant brand model, and an append-only audit log. That's it. Each one earns its place.

SWAT Command Center

The operator's primary view. A Kanban board with three lanes — New Referral, In Progress, Case Closed — and a 48-hour countdown on every active case.

  • Status badges: yellow, red, critical red, green
  • Owner assignment per case
  • Risk signals as chips; free-text risk summary
  • Notes thread per case
  • Single-click escalation to department chair

Inbox as interface

The operator drives action outward by email. Advisors, professors, chairs receive a brand-aware message with action buttons. They click. The case advances. They never log in.

  • Brand-aware templates per institution (logo, colors, signature, FERPA footer)
  • Action buttons are signed, single-use, 48h TTL
  • Mail-prefetch-safe (Outlook can't accidentally consume tokens)
  • Optional magic-link sign-in for a thin task list (most users never need it)

Per-tenant brand model

Every email and every page renders with the institution's colors, logo, signature, and FERPA footer. Operators self-serve brand updates with a live preview pane. No re-deploy, no per-tenant CSS file.

  • Colors, font, logo upload via the brand editor
  • Live preview of web UI + email layout side-by-side
  • Tenant-scoped email "from" identity (DKIM/SPF setup is yours)
  • FERPA notice + signature HTML reused across all sends

Append-only audit log

Every state change, every email, every token consumption writes an immutable audit event with user, IP, and timestamp. Filter by event type or case. Export when your accreditor asks.

  • Attribution even for field users who never logged in
  • Indexed by created_at for fast scrolling
  • Tenant-scoped for operators; cross-tenant for RetentionIQ™ staff
  • CSV / PDF export (Phase 9)
